Live demo

Try it on your own phone.

Call a busy plumbing shop. Nobody answers, and the text-back reaches your phone in seconds.

1. Add your first name and mobile number
2. Send it to get the number to call
3. Call it. Nobody will answer.

About two minutes. Have your phone handy.

- ### A morning list

Every call missed overnight, and where each one stands.

- ### Kept running for you

On the care plan, we monitor it, fix it, and make your changes. Your team does nothing.

- ### Tested before launch

We run it on your real past missed calls and walk your office through it.

## How it runs

One real example, start to finish.

- Runs on its own
- A person on your team decides

1. A call is missed

A homeowner calls while your CSR is on another line.

2. Texted back

Minutes later, a text arrives from your business number.

3. Job details gathered

The address and a good time window are asked by text.

4. Your CSR picks the slot

A person decides Your CSR gets the booking summary and replies with the window.

5. Booked and confirmed

Mike gets the window by text, and the job lands in your system.

What changes for your team

Your CSRs stop returning calls to people who have already hung up and moved on.

They start from a summary with the problem, the address, and the window, and their job is the part that needs a person: picking the right slot for the right tech.

Techs stop getting "can you call this guy back" messages on the job. The owner stops wondering what came in overnight; it is on one list in the morning. In a busy week, the same office keeps up with more calls, because the first reply and the detail-gathering already happened by the time anyone looks.

Fast replies win jobs. When [EZ Flow Plumbing](https://midnightflow.ai/portfolio/automate-plumber-service-calls) started answering every inquiry right away, day or night, booking conversion went from 25% to 75%.

## You stay in charge.

The routine runs on its own. At these moments it stops, asks a person, and waits for the answer.

- The caller describes an emergency, such as an active leak, a gas smell, no heat, or a burning smell from a panel.

Phone call to your on-call tech or the owner, with the details in a follow-up text

- A booking is ready and needs a slot on the schedule.

Text or Slack message to your CSR, who replies with the window

- The caller asks for a price, or for work outside your service list or area.

Text to the owner, who replies with the answer or takes the call

- A customer writes in with a complaint.

Text to the owner with the message, who replies or calls

### You set the rules, and can change them any time

- Which phone lines are covered.
- The first text and every follow-up question, with separate wording for business hours and after hours.
- The service list, the service area, and the approved answers to common questions.
- What counts as an emergency, and who is on call on which days.
- Who gets booking summaries, by text or Slack, and who gets them next if the first person does not reply within the time you set.
- The block list, the minimum call length, and whether existing customers with an open job are skipped.

### What can move the date

- Business texting registration for your number, which the carriers review on their own schedule.
- Calls arriving on several numbers or phone providers that each need connecting.
- Your team's time to review the test run and approve go-live.

## Works with what you already use

- Missed calls
- Your website form

## 25% to 75%

of inquiries booked at EZ Flow Plumbing in Dallas, once every inquiry got an instant reply.

[Read the case study](https://midnightflow.ai/portfolio/automate-plumber-service-calls)

> Someone would text us at 8 PM with a plumbing emergency, and by the time we saw it the next morning, they'd already hired someone else. Now, every single inquiry gets an immediate response, day or night. Our booking rate tripled, and we actually had to hire two more technicians to keep up with all the new appointments.

## Frequently asked questions

### Will callers know they are texting an automation?

You choose the wording. We suggest signing the first text with your business name and saying a person will confirm the time, which is true here, because your CSR confirms every slot.

### My main line is not on Twilio. Does that matter?

No. We work with the phone system your calls already run through, whether that is Twilio, RingCentral, or CallRail. If you use another provider, tell us on the first call.

### Will it text spam calls or my existing customers?

You set the rules. Numbers on your block list, calls shorter than the length you set, and callers who already have a job on today's schedule can all be skipped.
