Freight brokers

Every carrier invoice checked before you pay it.

Carrier invoices are read as they arrive, matched to the load's rate confirmation and POD, approved when they match, and any extra charge over your limit is texted to you to approve or dispute.

See it in action, step by step

What you get

  • Every invoice read

Any carrier's format, PDF or photo, read line by line as it arrives.

  • Matched to the load

Compared with the rate confirmation and POD from your TMS.

  • Extra charges sent to you

Anything over your limit comes to your phone with the evidence.

  • Missing PODs chased

The carrier is asked the same minute, with one follow-up.

  • Customer billing released

The load is marked ready to bill as soon as the POD is in.

  • Bank changes held

A carrier's new bank or remit-to details always go to a person.

  • Kept running for you

On the care plan, we monitor it, fix it, and make your changes.

  • Tested before launch

We run it on your past invoices and walk your team through it.

How it runs

One real example, start to finish.

  • Runs on its own
  • A person on your team decides
  1. Invoice arrives

A carrier emails an invoice at 4:12 p.m., and it is read line by line.

  2. Matched to the load

The rate confirmation and the POD are pulled from your TMS and compared.

  3. Checked against your limit

Extra charges up to $50 are approved on their own. This one is $200.

  4. Your AP lead decides

A person decidesThe text shows the load, the agreed rate, the charge, and the POD times.

  5. Entered and billed

The invoice is entered at $1,650, the dispute goes out, and customer billing is released.

What changes for your team

Your AP team stops opening every invoice, pulling up the rate confirmation, and checking the POD by hand.

They stop typing invoices into the accounting system and stop chasing carriers for paperwork. They still see every extra charge that matters, laid out with the evidence, and their job is to decide, not to search.

Extra charges nobody agreed to get caught before they are paid, and customer invoices go out as soon as the POD is in.

You stay in charge.

The routine runs on its own. At these moments it stops, asks a person, and waits for the answer.

  • An extra charge is over your limit, or has no proof behind it.

Text or Slack to your AP lead, with the load, the agreed rate, the charge, and what the POD shows

  • An invoice is for a load already entered or paid, or matches no load.

Text or Slack to your AP lead

  • A carrier asks to change its bank or remit-to details.

Text to your controller, who verifies it with the carrier on the number already on file

You set the rules, and can change them any time

  • How much extra a carrier can bill before you are asked, for all charges or separately for detention, lumper, and layover.
  • Which charges need proof, such as a lumper receipt or POD times for detention.
  • Who approves what, by amount, customer, or carrier.
  • When a missing POD is chased again, and when the invoice is put on hold.
  • What counts as a duplicate, and who is told.
  • Who verifies a change to a carrier's bank or remit-to details.

Your part is small.

The details

Included

  • Every carrier invoice picked up as it arrives, from the inbox or inboxes carriers send to, in any carrier's format, as a PDF or a photo.
  • Each invoice read line by line, including the carrier, MC number, invoice number, load number, linehaul, fuel, and every extra charge such as detention, lumper, layover, or truck order not used.
  • The load found in your TMS, and the invoice compared with its rate confirmation and POD.
  • Invoices that match the rate confirmation and have a signed POD approved automatically, and extra charges within your limits approved with them.
  • Extra charges over your limits, and charges with no proof, sent to your AP lead by text or Slack with the load, the agreed rate, the charge, and what the POD shows, to approve or dispute.
  • Missing or unsigned PODs requested from the carrier the same minute, with one follow-up, and matched to the load when they arrive.
  • Duplicate invoices for a load already entered or paid held and flagged.
  • A request to change a carrier's bank or remit-to details never applied automatically, and sent to a person to verify.
  • Approved invoices entered in QuickBooks Online or your accounting system at the approved amount.
  • A dispute email to the carrier for any charge you dispute, with the rate confirmation attached.
  • Customer billing released once the POD is in, with the load marked ready to invoice in your TMS.
  • A daily summary of invoices checked, approved, and held, and the extra charges disputed.
  • A test run on past invoices before go-live, and a walkthrough for your AP team.

Frequently asked questions

Does anything get approved without someone checking it?

Invoices that match the rate confirmation, have a signed POD, and carry no extra charge over your limits are approved automatically, the way your team would approve them. Everything else waits for your AP lead. Payment still goes out through your bank or payment tool, on your schedule.

Do carriers need to change how they send invoices?

No. They email invoices the way they do today, in their own formats, as PDFs or photos. If carriers send to several inboxes, we watch all of them.

Can we set different limits for different charges?

Yes. You can set one limit for every extra charge, or separate ones for detention, lumper, and layover, and different approvers by customer, carrier, or amount. You change them on the care plan whenever you like.
