Home-services contractors

Every open estimate followed up, every time.

Every estimate that has not been accepted gets a follow-up sequence in your words, questions go to the person who wrote it, and nothing about the price changes without the owner's yes.

What you get

  • Every estimate tracked

From the day it goes out, in your field-service system or QuickBooks.

  • A follow-up sequence

Text and email on the days you choose, worded for repairs, replacements, and installs.

  • Questions to the right person

A question goes to the tech who wrote the estimate, and a yes goes to scheduling.

  • You approve any discount

Nothing about the price changes without your yes.

  • Stale estimates flagged

Estimates that finish the sequence come to you for review.

  • A weekly summary

Open, won, and closed out, for the owner.

How it runs

One real example, start to finish.

  • Runs on its own
  • A person on your team decides
  1. Estimate sits open

Your advisor sends an estimate for a new water heater.

  2. Follow-ups go out

A short text in your wording, then the estimate again by email.

  3. Advisor answers

A person decidesA question pauses the follow-ups and goes to the advisor who quoted.

  4. Price asks wait for you

A person decidesA request for a better price goes to the owner first.

  5. A yes gets scheduled

A person decidesWhen the homeowner says yes, your CSR schedules the job.

What changes for your team

Your advisors and techs stop keeping a mental list of estimates to chase, and stop feeling awkward about the third call.

The reminders go out on schedule without them. They hear from the customer when there is something to answer, which is the part that sells the job.

The owner stops finding out about a stale estimate weeks later. Pricing stays the owner's call, made with a one-line reply instead of a phone tag session. Your office can carry more open estimates at once, because following up no longer depends on someone remembering.

You stay in charge.

The routine runs on its own. At these moments it stops, asks a person, and waits for the answer.

  • A customer asks for a better price or a cheaper option.

Text to the owner, who replies with the approved offer or says they will call

  • A customer replies with a question about the work.

Text to the tech or comfort advisor who wrote the estimate

  • An estimate over the amount you set reaches the last step with no reply.

Text to the owner, who decides whether to call the customer personally

You set the rules, and can change them any time

  • How many days after the estimate each message goes, and how many messages in total.
  • The wording of every text and email, by job type.
  • Which step re-sends the estimate.
  • Who answers questions for which kinds of estimates, and how they are reached.
  • The discount and second-option rules, and the estimate amount above which the owner hears about a quiet customer.
  • Whether closed-out estimates are marked in your system.

Your part is small.

What can move the date
  • Follow-up wording that differs by job type and needs several rounds of review.
  • Business texting registration for your number, if it is not registered yet.
  • Your team's time to review the test run and approve go-live.

Works with what you already use

  • ServiceTitan, Housecall Pro, Jobber, or QuickBooks Online

Finds every open estimate, re-sends it at the step you choose, and marks the ones that close out.

  • Text messages (Twilio)

Sends the follow-up texts, carries the customer's replies, and reaches your advisors and the owner.

  • Gmail or Outlook

Sends the follow-up emails and picks up the customer's replies.

  • Slack

Hands a yes to your office to schedule, if your team lives in Slack.

The details

Included

  • Every open estimate tracked from the day it goes out, in ServiceTitan, Housecall Pro, Jobber, or QuickBooks Online.
  • A follow-up sequence by text and email on the days you choose, with separate wording for repairs, replacements, and installs.
  • The estimate re-sent at the step you choose, so the customer has it in front of them.
  • Customer replies read and routed. A yes goes to your office to schedule, and a question goes to the tech or comfort advisor who wrote the estimate.
  • Owner approval by text before any discount, second option, or price change goes to the customer.
  • Estimates that finish the sequence without a reply flagged for your review, and marked closed in your system if you choose.
  • A weekly summary to the owner of estimates still open, won, and closed out.
  • A test run on real past estimates before go-live, and a walkthrough for your team.

Not included

  • Writing or pricing estimates. Your techs and advisors still build them.
  • Financing applications or collecting deposits and payments.
  • Phone follow-up. The sequence runs by text and email; calls stay with your team.
  • Follow-up on commercial bids or jobs that go through a formal tender.
  • Your FlowRunner subscription and AI model usage, which are billed separately.
  • Ongoing changes after launch, which are covered by the care plan or priced per change.

After launch, we keep it running.

On our care plan

We monitor it, fix it, and make your changes, with a named contact. Your team does nothing.

$300 a month, unlimited changes, cancel any month

Or run it yourselves

We hand it over and train your team on what it does and what to do if something looks off.

Changes later: $75 an hour

It keeps running. Your automation lives in a FlowRunner account in your business's name, so it never depends on us, and we hand everything over to you or whoever you choose.

Our price covers the build: setup in your accounts, tuning on your own past data, and training your team. FlowRunner runs it from there. How we work

Extras that apply: your FlowRunner subscription, $45/month**, billed by FlowRunner, and your AI model usage, billed by your AI provider. Neither is included in our price. We set both accounts up for you. See FlowRunner pricing. ** FlowRunner pricing varies with the volume of calls and messages.

Frequently asked questions

Will this pester customers who already said no?

No. A reply that says no, or asks to stop, ends the sequence for that estimate, and a stop reply ends texts to that number. You also set how many messages go out in total.

Our estimates live in ServiceTitan. Does that work?

Yes. We follow up estimates where they already live, whether that is ServiceTitan, Housecall Pro, Jobber, or QuickBooks Online. Your advisors keep building estimates the way they do today.
