A lien waiver for every payment, before the money goes out.

Before each sub or supplier payment, the conditional waiver is requested, read, and checked; after the payment clears, the unconditional waiver is requested; and a payment without its waiver is held until you decide.

What you get

  • Waivers requested

The conditional waiver goes out when a pay application is approved, already filled in.

  • Every waiver checked

Payee, amount, through date, project, and the right form for the state.

  • Payments held until it's back

A payment missing its waiver waits for your project accountant's decision.

  • Unconditionals chased

Requested once the payment clears, with follow-ups until it's back.

How it runs

One real example, start to finish.

  • Runs on its own
  • A person on your team decides
  1. Pay application approved

Ridge Electric's pay application for the Elm Street job is approved for $48,200.

  2. Conditional waiver requested

The waiver goes out already filled in, for signature from a phone.

  3. Checked when it comes back

The returned waiver is read and checked against the payment.

  4. A missing one is held

A person decidesA supplier's waiver hasn't come back, so your project accountant decides whether the payment waits.

  5. Unconditional collected

Once Ridge Electric's payment clears, the unconditional waiver is requested and filed.

What changes for your team

Your project accountant stops filling in waiver forms, emailing subs for signatures, and checking each one against the payment by hand.

They stop keeping a spreadsheet of which unconditionals are still out. They still decide every payment that would go out without its waiver, and that is the only part of the job left for them.

No payment goes out uncovered by accident, and every unconditional waiver is collected after the money clears.

You stay in charge.

The routine runs on its own. At these moments it stops, asks a person, and waits for the answer.

  • A payment is due and its conditional waiver is missing or doesn't match.

Text or Slack to your project accountant, to hold the payment or release it anyway

  • An unconditional waiver is overdue after payment.

You set the rules, and can change them any time

  • Which waiver form is used for each state you build in.
  • Whether a payment without its waiver is held automatically, and who can release it.
  • How often subs and suppliers are chased, and when you are told a waiver is overdue.
  • Whether lower-tier suppliers' waivers are collected on large jobs.
  • What the weekly summary lists, and who gets it.

Your part is small.

What can move the date
  • Waiver forms that differ by state across your projects.
  • An accounting system we have not connected to before.
  • Joint check arrangements and lower-tier waivers on large jobs.
  • Your team's time to review the test run and approve go-live.

Works with what you already use

(Gmail or Outlook). Requests go out from it, and returned waivers are picked up as they arrive.

  • DocuSign

Waivers are signed from a phone or a computer.

  • QuickBooks Online

Or your accounting system. Approved payments are read from it, and waivers are filed with them.

  • Procore

Or your tracking sheet (Google Sheets). Each waiver is logged with its project.

  • Text messages and Slack

The decisions your project accountant makes, from their phone.

  • Your FlowRunner workspace

Runs the automation, with a record of every waiver.

Frequently asked questions

Does any payment go out without a waiver?

Not unless your project accountant decides it should. A payment without a matching conditional waiver is held, and they choose to wait or release it.

Do subs need a DocuSign account?

No. They sign the waiver from the email they get, on a phone or a computer, or send back a signed copy of their own form, which is read and checked the same way.
