Every sub's insurance checked before they set foot on site.

Certificates arrive in a pile, often missing the additional insured endorsement or expiring mid-job. The automation reads each one against the contract, chases the sub's agent for what is missing, tracks every renewal, and texts you before a sub starts without the coverage you require. We set it all up, connected to how you track subs.

A sub's certificate arrives at 4:15 p.m. Here's what happens next.

Without automation

Monday

the sub starts without covering you

Nobody noticed the missing endorsement.

  1. 4:15 PMThe certificate lands in a shared inbox with a dozen others.
  2. Next weekSomeone files it after a glance at the limits.
  3. MondayThe sub starts work without naming you as additional insured.

With automation

2 minutes

to check it against the contract

You decided before they started.

  1. 4:15 PMThe certificate is read, every policy and endorsement.
  2. 4:16 PMIt is checked against the Elm Street contract, and two gaps are found.
  3. 4:17 PMThe sub's agent is asked for a corrected certificate.
  4. FridayThe sub starts Monday with nothing back, so your risk owner is texted.
  5. FridayThey hold the sub until the corrected certificate arrives.

You decide before an uncovered sub starts.

  1. 23 certificates arrived this week.

ACORD forms from every sub's agent, each to be checked against a different contract.

  2. Every certificate checked against its contract.

Certificates that meet every requirement are accepted. A missing waiver was requested from the agent, and a renewal was asked for ahead of time.

  3. 1 sub starts Monday without the coverage you require.

Ridge Electric is under your $2,000,000 minimum and doesn't name you as additional insured. Their agent has been asked to fix both.

  4. You decide from your phone.

Your risk owner sees the limits, what is missing, and the start date, then holds them or lets them start.

    It always asks before:

    • Letting a sub start below your minimum
    • Letting a sub start before a corrected certificate arrives
    • Any policy that lapses mid-job

Frequently asked questions

Why not just use ChatGPT or Claude for this?

A chat assistant reads a certificate when you paste it in. This runs on its own when a certificate lands at 4:15 p.m. It reads the ACORD form, checks every limit and endorsement against that sub's contract, asks the sub's agent for a corrected certificate, tracks every expiration date, and texts you only when a sub would start without the coverage you require.

We already store certificates in a tracking tool. What does this add?

Storing certificates is the easy part. The work is reading each one against the contract, noticing that additional insured is missing, chasing the agent until the corrected certificate arrives, and asking for renewals before they lapse. This does that work and brings you only the decisions.

Every contract has different requirements. Will it cope?

Yes. The requirements live in a table you control: limits, additional insured, waiver of subrogation, and primary and noncontributory wording, by project or by trade. Each certificate is checked against the row for that sub's contract.

Who looks after it once it is live?

We can. On the care plan, we monitor it, fix it, and make your changes, so your team does nothing. If you would rather run it yourselves, we hand it over. Either way it lives in a FlowRunner account in your company's name, so it never depends on us.

We use Procore. Will this work with it?

Yes. We connect to Procore, or to the spreadsheet or system where you track subs today, along with your inbox, DocuSign for waivers, and your team's phones or Slack.

What else will I pay for besides your fee?

Two extras apply to every package. Your FlowRunner subscription is billed monthly by FlowRunner, and your AI model usage is billed by your AI provider. We set both accounts up as part of the build. See FlowRunner pricing.
