General contractors

Every sub's insurance checked before they set foot on site.

Certificates are requested from every sub, read as they arrive, checked against that contract's requirements, chased with the sub's agent when something is missing, tracked until renewal, and you are texted before a sub starts below your minimum.

See it in action, step by step

What you get

  • Certificates requested

Every sub gets a request that spells out what their contract requires.

  • Every certificate read

ACORD forms and carriers' own formats, every policy and endorsement.

  • Checked against the contract

Limits, additional insured, and waivers, by project or trade.

  • Agents chased

Missing endorsements and short limits requested until fixed.

  • You decide before they start

A sub below your minimum comes to your phone first.

  • Renewals tracked

Renewal requests 30 days ahead, and a text if a policy lapses.

  • Kept running for you

On the care plan, we monitor it, fix it, and make your changes.

  • Tested before launch

We run it on certificates from your current projects.

How it runs

One real example, start to finish.

  • Runs on its own
  • A person on your team decides
  1. Certificate arrives

    A sub's insurance agent emails a certificate at 4:15 p.m.

  2. Checked against the contract

Every limit and endorsement is compared with the Elm Street requirements.

  3. Agent asked

The sub's agent gets a request for a corrected certificate the same minute.

  4. You decide before Monday

A person decidesNothing is back and the sub starts Monday, so your risk owner decides.

  5. Tracked until renewal

When the corrected certificate arrives, the sub is cleared and its renewal is tracked.

What changes for your team

Your coordinators stop reading every certificate against the contract and stop emailing agents for corrections.

They stop keeping expiration dates in a spreadsheet and hoping someone looks at it. They still see every gap that matters before a sub starts, laid out with the contract's requirement beside it, and their job is to decide, not to read.

Missing endorsements get fixed before work starts, and lapsed policies get caught the day they lapse.

You stay in charge.

The routine runs on its own. At these moments it stops, asks a person, and waits for the answer.

  • A sub is due on site below your minimum coverage, or without a corrected certificate.

Text or Slack to your risk owner, to hold them or let them start

  • A policy lapses in the middle of a job.

Text to your risk owner and the project manager

  • A certificate cannot be matched to a sub or a contract.

Text or Slack to your project coordinator

You set the rules, and can change them any time

  • The requirements for each project or trade: limits, additional insured, waiver of subrogation, and primary and noncontributory wording.
  • Your minimum coverage, and whether a sub below it can start with your approval.
  • Who decides what, by project, trade, or contract value.
  • How often the agent is chased, and when you are told a correction is overdue.
  • How far ahead renewals are requested.
  • What the weekly summary lists, and who gets it.

Your part is small.

What can move the date
  • Requirements that live in contract documents rather than a table, which we build with you first.
  • A project management system we have not connected to before.
  • More than one company or insurance program, such as an OCIP or CCIP.
  • Your team's time to review the test run and approve go-live.

The details

Included

  • A certificate request sent to every sub on a new contract, with the requirements spelled out for their agent, and one follow-up.
  • Every certificate picked up as it arrives, as an ACORD 25 or any carrier's own format, by email or upload.
  • Each certificate read, including the insured, every policy, its limits, its dates, and whether you are named as additional insured, with waiver of subrogation and primary and noncontributory wording.
  • Each certificate checked against the requirements for that sub's contract, from a table you control by project or trade.
  • Missing endorsements, short limits, and wrong names requested from the sub's insurance agent automatically, with follow-ups until the corrected certificate arrives.
  • A text or Slack message to your risk owner when a sub is due on site below your minimum or without a corrected certificate, to hold them or let them start.
  • Expiration dates tracked for every policy, with renewal requests 30 days before and a text to you if a policy lapses mid-job.
  • Each sub's status kept current in Procore or the spreadsheet where you track subs.
  • A weekly summary of every sub's status by project, with anything open at the top.
  • A test run on certificates from your current projects before go-live, and a walkthrough for your team.

Not included

  • Setting your insurance requirements. We put the requirements you have into the table; your broker or counsel sets them.
  • Reading full policies or endorsement forms for coverage opinions.
  • Subcontractor prequalification beyond insurance, such as safety records and financials.
  • Owner-controlled and contractor-controlled insurance programs (OCIP and CCIP) administration.
  • Changes to your project management setup beyond reading subs and updating their status.
  • Your FlowRunner subscription and AI model usage, which are billed separately.
  • Ongoing changes after launch, which are covered by the care plan or priced per change.

After launch, we keep it running.

Frequently asked questions

Does anything get accepted without someone checking it?

Certificates that meet every requirement in the sub's contract are accepted automatically, the way your coordinator would accept them, and every one is listed in the weekly summary. Anything that falls short is chased with the agent, and you are asked before that sub starts.

Do subs or their agents need to do anything differently?

No. Agents email certificates the way they do today. The request they get from you simply spells out what the contract requires, which makes a correct certificate more likely the first time.

What about lien waivers?

That is a separate package that pairs with this one. It collects the conditional waiver before each payment and the unconditional waiver after, and holds a payment when a waiver is missing.
